What: Annual General Meetings for 2020 & 2021

When: Wednesday, October 20, 2021 at 8 p.m.

Where: Cedar Hill Recreation Centre Gym

This unprecedented event in our lifetimes, COVID-19, is also resulting in an unprecedented event in the history of the club – two Annual General Meetings in one evening.

Due to Public Health efforts to limit the transmission of COVID-19, in 2020 the BC Government granted Societies like ours the flexibility to delay the 2020 Annual General Meeting.

These two meetings, one for the fiscal year 2019/2020, the other for fiscal year 2020/2021, are distinct and separate but will both be held on October 20, 2021 starting at 8 p.m. The agenda for the 2019/2020 AGM is short and includes reports from the President and Treasurer. The agenda for the 2020/2021 AGM includes resolutions and the election of Directors of the Society and the election of the President.

To attend:

  • You must be a member in good standing,
  • You must provide proof of vaccination, and
  • You must wear a face covering as defined by PHOs.

Proxy voting

We understand that not everyone can make it to the meeting but that doesn’t limit your ability to participate. Proxy voting is one way to make your voice count. If you know someone who will be attending, you can assign them proxy vote privileges and they can vote on your behalf. Each attendee can represent two proxy votes.

At its core, the Victoria Ballroom Dance Society, your VBDS, is a member-funded, member-run dance club. We have no employees. Everything that happens is because someone stepped up and volunteered to do it. Many long-time members devoted countless hours over the years, taking a handful of dance friends and building that group into a community that holds regular practices, offers lessons, hosted (and will one day again, host) social dances, provided community outreach and more. Your current Board put in countless hours just trying to ensure the survival of the club in these very trying times. As we continue to navigate the ongoing health crisis, we also need to look to the future and how we rebuild. We need more volunteers – we need you. Being on the Board enables you to fill a crucial role, to be a part of the decision-making process that will ensure the long-term viability of our community. Your ideas and your energy will help our club flourish as we move forward. Please consider volunteering by filling out this nominating form and submitting it to the nominating committee. Nominations will be received by email up to October 19 – the day before the AGM. Please send yours to: Nominations may also be made on the floor at the AGM.
